Senior IFA Administrator

Salary: £32,000 - £34,000 per annum (depending on experience)

Location: Birmingham - Hybrid (Primarily Home-Based)

Hours: Monday to Friday, 9:00am – 5:00pm (35 hours per week)

Contract: Permanent, Full-Time

NJR Recruitment is delighted to be recruiting on behalf of a growing and forward-thinking Independent Financial Adviser firm for an experienced Senior IFA Administrator to join their team.

This is an excellent opportunity for an experienced IFA Administrator who is looking to take the next step in their career, managing more complex client cases, supporting Advisers and providing guidance to colleagues within a collaborative and professional environment.

The successful candidate will play a key role in delivering exceptional client outcomes, maintaining high standards of compliance and contributing to the continued improvement of processes and service delivery.

The role is primarily home-based, with occasional attendance required for meetings, training and team collaboration.

The Role

As a Senior IFA Administrator, you will take ownership of complex client administration, providing comprehensive support to Advisers and ensuring all cases are progressed accurately and efficiently.

Key Responsibilities

Client Administration

  • Manage client cases from initial enquiry through to completion.
  • Obtain policy information, valuations, illustrations and provider documentation.
  • Process Letters of Authority and new business applications.
  • Liaise with providers, platforms and third parties to progress cases.
  • Maintain accurate client records and ensure all documentation is complete.
  • Monitor outstanding actions and ensure cases are progressed within agreed timescales.

Adviser Support

  • Provide high-quality administrative support to Financial Advisers.
  • Assist with complex client queries and case management.
  • Support advisers in delivering suitable and compliant client outcomes.
  • Contribute to improving client service standards and operational processes.

Compliance & Quality

  • Complete Anti-Money Laundering and client verification checks.
  • Ensure client records and documentation meet regulatory requirements.
  • Maintain excellent levels of accuracy and attention to detail.
  • Support internal quality assurance and compliance procedures.
  • Work in line with FCA regulations and Consumer Duty principles.

Team Support & Development

  • Provide guidance and support to junior team members.
  • Share knowledge and best practice across the administration team.
  • Assist with training and mentoring activities.
  • Identify opportunities to improve processes, efficiency and client outcomes.

About You

The successful candidate will have:

  • Minimum 3 years’ experience within an IFA Administration role.
  • Strong knowledge of pensions, investments and financial planning administration.
  • Experience working within a regulated Financial Services environment.
  • Excellent organisational and time management skills.
  • Strong attention to detail with a commitment to accuracy.
  • Excellent written and verbal communication skills.
  • The ability to manage workloads independently and prioritise effectively.
  • Strong IT and systems skills.
  • GCSE (or equivalent) Mathematics and English at Grade C/4 or above.

Desirable experience includes:

  • Supporting complex client cases.
  • Mentoring or coaching junior colleagues.
  • Experience using Intelligent Office (iO) or similar back-office systems.
  • Working towards or holding relevant CII qualifications.
  • An interest in developing leadership and mentoring skills.
