Job Summary:
As a Personal Assistant, you’ll be the trusted right hand to the CEO and Chairman —anticipating needs before they arise, keeping schedules seamless, and ensuring that every detail is handled with care. Your work will directly enable smooth operations, and a more productive, focused workplace.
Key Responsibilities:
- Manage and coordinate the schedules, meetings, and travel arrangements for the CEO and Chairman including internationally.
- Prepare and proofread documents, presentations, and reports to a high professional standard.
- Act as the first point of contact for internal and external communications—screening calls, emails, and correspondence with discretion and professionalism.
- Organise and maintain accurate records, always ensuring confidentiality.
- Take accurate meeting minutes
- Support event planning, from small internal meetings to large-scale conferences.
- Handle correspondence, including emails, letters, and phone calls, in a timely manner.
- Monitor and manage office supplies and equipment as needed.
- Assist with ad hoc administrative tasks to support the wider team.
Experience & Skillset
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
Key Competencies
- Exceptional organisational skills and the ability to prioritise competing demands.
- Strong written and verbal communication skills, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools
- A proactive mindset—able to anticipate needs and solve problems before they escalate.
- Discretion, professionalism, and a calm approach under pressure.
Working Conditions
- Hybrid work, with potential travel.
- High-pressure environment requiring quick decision-making and attention to detail.
- Birmingham B3 3AG: reliably commute or plan to relocate before starting work (required)
Experience:
- Administrative: 3 years (preferred)
