This role is ideal for a highly skilled and proactive secretary, joining a dynamic team of six dedicated secretaries to provide exceptional support to a team of accomplished lawyers. As a key member of this collaborative team, you will play an instrumental role in ensuring smooth and efficient operations while delivering added value across various tasks.

Key Responsibilities include, but are not limited to:
- Efficient e-filing and document management, ensuring all materials are correctly stored and easily accessible.
- Providing comprehensive administrative support to a diverse range of legal professionals, ensuring their needs are met with precision.
- Transcribing dictations and performing accurate typing, ensuring documents are produced with clarity and attention to detail.
- Managing document amendments and version control, maintaining a well-organized system for ease of reference.
- Overseeing file management, including opening and closing files, conducting compliance checks, and scanning and saving documents into the document management system.
- Formatting contracts and client documents to meet the highest standards, ensuring consistency and professionalism.
- Contributing to the development and maintenance of in-house precedents and third-party documents, supporting the team’s ongoing needs.
- Managing complex diaries, scheduling meetings, and coordinating travel arrangements to support efficient time management.
- Handling billing and financial management tasks, ensuring accuracy and timely processing.
- Providing dedicated support to a variety of lawyers across both contentious and non-contentious legal departments, demonstrating flexibility and adaptability to meet the team’s diverse needs.
- Being able to contribute to a busy department as a reliable team player is essential
- Administrative or secretarial qualifications is preferable but not essential, keenness to learn and develop new skills is key
- Excellent knowledge of Word, Excel, PowerPoint, advanced formatting skills desirable
- Confident communicator with multiple lawyers of all seniority
- Be able to work independently and as part of a team
- Will be enthusiastic and keen to continue to develop
- Attention to detail is a must and must be able to follow instructions, confident to engage with colleagues where more clarity is needed
- We would like someone to be able to build strong working relationships not only with the secretaries already in the team but with those they will be allocated to work with.
- Must be able to work to short deadlines and manage conflicting deadlines and priorities, and manage own workload
- Willing and flexible to provide cover across the department at short notice as necessary
- Be willing to get involved with team initiatives and firm-wide projects
