Events Administrator / Junior Event Manager

Contract: Self-employed / freelance, 6-9 months

Duration: January-June 2027, with potential extension to September 2027
Hours: Flexible: 2-3 full days per week or shorter, school-friendly hours

Working arrangements: Predominantly office-based, with some on-site event work
About the role
Lemonzest Events is looking for an enthusiastic, highly organised and proactive Events Administrator / Junior Event Manager to work with our team on a flexible, self-employed contract starting in January 2027.
This is a varied, hands-on role supporting the planning, organisation and delivery of events, from initial enquiries and administration through to supplier coordination, client communication, logistics and on-site delivery. You will work predominantly from our office alongside the team, with some time spent at event venues.
We welcome applications from people with events experience as well as those with strong transferable skills who are keen to develop in the industry.
Flexible Working
We are more interested in finding the right person than insisting on a rigid working pattern. We are happy to discuss:
· Two to three full working days per week.
· Shorter days spread across the working week.
· School-friendly hours that accommodate drop-offs and pick-ups.
· Other part-time arrangements that work for both you and the business.
The role is office-based, with occasional travel to event venues. Some events may require early starts, evenings or weekends; these commitments and any additional hours will be discussed and agreed in advance wherever possible.
Key responsibilities
Event planning and coordination
· Support the planning, organisation and delivery of events from initial enquiry through to completion.
· Coordinate logistics including venues, catering, accommodation, transport, equipment and entertainment.
· Liaise with venues, suppliers and contractors to confirm event requirements.
· Prepare schedules, running orders, briefing documents and other event materials.
· Track timelines, deadlines and outstanding actions.
· Support larger projects and coordinate smaller events as appropriate to experience.
Event administration
· Manage event enquiries, bookings, registrations and attendee information.
· Prepare proposals, quotations, presentations and event documentation.
· Maintain accurate records, spreadsheets and planning systems.
· Coordinate invitations, guest lists, joining instructions and event communications.
· Provide general office administration related to planning and delivering events.
Social media and event content
· Support Lemonzest's social media activity by helping to capture and share appropriate content from events.
· Gather event information, photographs and key highlights for use across Lemonzest's social media channels.
· Draft and schedule event-related social media posts, including pre-event, live/event-day and post-event content where appropriate.
· Work with the team to ensure posts accurately reflect the event, the client and Lemonzest's involvement, while maintaining a consistent tone of voice.
· Ensure client permissions, confidentiality requirements and any agreed restrictions are respected before event information or imagery is shared.
Client and supplier coordination
· Act as a professional, friendly contact for clients, venues and suppliers.
· Obtain and compare supplier quotations and coordinate bookings.
· Build positive relationships with clients and event partners.
· Respond to enquiries and keep relevant parties updated.
· Communicate client requirements clearly and help resolve day-to-day issues.
Budget and financial administration
· Assist with event budgets, supplier quotations and expenditure tracking.
· Maintain accurate financial records and assist with invoice processing.
· Monitor costs against agreed budgets and support post-event reconciliation.
On-site event support
· Attend venues as agreed to assist with setup, coordination and event delivery.
· Support supplier arrivals, event logistics, registration and guest management.
· Help events run to schedule and respond professionally to unexpected issues.
· Assist with breakdown, feedback collection and post-event administration.
Skills and experience
Essential
· Excellent organisation, time management and attention to detail.
· Strong written and verbal communication skills.
· A proactive attitude, initiative and the ability to manage competing priorities.
· Confidence communicating with clients, suppliers and colleagues.
· Good IT skills, particularly Outlook, Word and Excel.
· Ability to work independently and collaboratively with a small team.
· A practical, adaptable approach and willingness to attend events as agreed.
Desirable
· Experience in event administration, event coordination, hospitality or a similar role.
· Experience working with venues, suppliers or event contractors.
· Knowledge of event logistics, quotations, budgets or bookings.
· Experience supporting or managing live events.
· Experience creating or scheduling social media content, particularly for events or businesses.

You enjoy working with people, take pride in getting the details right and are comfortable managing your own workload. You are happy working alongside a team in the office and getting involved in the practical side of events when required.
Contract details
This is a 6-9 month self-employed / freelance engagement beginning in January 2027, initially running to June with the possibility of extension to September. The rate will be given upon request & will be dependent on experience.
Working patterns, fees, invoicing arrangements, any additional event-day hours and expenses will be agreed before the contract begins.
