Salary: £25,000 - £28,000 depending on experience

Working Hours: Monday to Friday, 9:00 am – 5:30 pm (Office-Based Only)



About the Role

A well-established Birmingham-based property developer is seeking a Portfolio Support professional to join its growing Tenancy Management Division.

This is a fantastic opportunity for an organised, proactive, and detail-oriented individual looking to develop their career within a professional and fast-paced property environment.

The role is strictly office-based, within a highly professional setting. The successful candidate must be comfortable working in a structured office environment and demonstrate strong professionalism, presentation, and communication skills at all times.


Role Overview

The Portfolio Support role is responsible for providing comprehensive operational support to the Portfolio Manager across an assigned property portfolio.

This is a tenant-focused role, with primary responsibility for managing day-to-day tenant interactions, maintenance coordination, and operational administration. The position goes beyond administrative duties and requires ownership and leadership of maintenance matters.


Key Responsibilities

Maintenance Management (Primary Ownership)

  • Take ownership and lead on all maintenance matters across the portfolio
  • Log, assess, prioritise, and coordinate tenant maintenance requests
  • Liaise with landlords to obtain approval for works
  • Instruct and manage contractors and suppliers
  • Ensure works are completed efficiently, cost-effectively, and to a high standard
  • Monitor jobs through to completion
  • Escalate complex or high-risk issues where necessary
  • Manage snagging and warranty-related repairs


Tenant Support & Communications

  • Act as the primary day-to-day contact for tenants
  • Deliver excellent customer service and timely responses
  • Manage tenant queries relating to maintenance, tenancy matters, and processes
  • Handle issues professionally and proactively


Viewings & Lettings Support

  • Coordinate viewing enquiries and bookings
  • Provide administrative support to the lettings process
  • Assist with holding fee procedures


Financial & Payment Support

  • Chase payments from VPP clients, including:
  • Lettings fees
  • Maintenance invoices
  • Support tracking and follow-up of financial obligations


End of Tenancy Support

  • Coordinate end-of-tenancy repairs and maintenance
  • Organise contractor access and timelines
  • Support property turnaround for re-letting


Utilities & Council Tax Support

  • Assist with council tax and utilities correspondence
  • Ensure notifications are completed accurately and on time


Complaints Handling

  • Escalate formal complaints promptly to the Portfolio Manager
  • Maintain accurate records and support resolution processes


About You

Experience

  • 1–2 years’ experience in a property-related role, such as:
  • Property Administrator
  • Property Coordinator
  • Maintenance Coordinator
  • or similar


Skills & Competencies

  • Strong organisational and coordination skills
  • Ability to manage multiple tasks and priorities
  • Excellent communication and interpersonal skills
  • Professional, well-presented, and confident in an office environment
  • High level of accountability and initiative
  • Proactive and solution-oriented approach


Technical Skills

  • Strong IT proficiency, including:
  • Microsoft Office Suite
  • WhatsApp (for business communication)
  • Ability to learn and use CRM/property management systems


Additional Requirements

  • Full UK driving licence (preferred but not essential)
