Personal Assistant to Managing Director
Location: Birmingham
Working Pattern: On-site / hybrid possible

About the Role
We are seeking a confident and highly organised administrative professional to support the Managing Director and Principal Solicitor of a leading legal practice. This is a true right-hand role with varied responsibilities, combining high-level administrative, organisational and gatekeeping support with elements of private assistance. The successful candidate will play a key role in ensuring the Managing Director is able to focus on leading the firm, managing complex legal matters and driving continued growth. This role is ideal for an adaptable, incredibly proactive individual who thrives in a fast-paced environment, enjoys variety and takes pride in keeping multiple moving parts operating seamlessly.

You are an experienced Personal Assistant who enjoys working closely with a hands-on leader and supporting a wide range of professional and personal responsibilities. You are detail-oriented and capable of managing competing priorities in a demanding environment, and you take initiative and are comfortable operating independently while maintaining absolute discretion.

Key Responsibilities
- Providing comprehensive support to the Managing Director, including diary management, scheduling, inbox management, meeting coordination, and domestic and international travel arrangements.
- Attending client conferences and meetings, preparing agendas, taking notes, and maintaining accurate records.
- Acting as a key point of contact for clients, stakeholders, and external partners, managing correspondence and handling enquiries with professionalism and discretion.
- Conducting business and personal research to support decision-making and ongoing projects.
- Preparing expenses, legal documents, reports, and business correspondence.
- Offering lifestyle and logistical support, including household admin, personal diary coordination, travel and appointment booking, and some family logistics.
- Organising and maintaining office systems and administrative processes.
- Supporting internal teams and assisting with ad hoc projects to ensure priorities are delivered efficiently.
You are an experienced Personal Assistant who enjoys working closely with a hands-on leader and supporting a wide range of professional and personal responsibilities. You are detail-oriented and capable of managing competing priorities in a demanding environment, and you take initiative and are comfortable operating independently while maintaining absolute discretion.
You will ideally have:
- Previous experience supporting C-Suite or senior leadership to a high-degree in a Personal Assistant or Executive Assistant role.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills, with the ability to build relationships at all levels and handle stakeholder interactions.
- Proactive attitude, able to anticipate needs, exercise sound judgment, and act as an effective gatekeeper.
- Excellent administrative and IT skills, including proficiency with Microsoft Office.
- The ability to remain calm and effective under pressure.
- A high degree of discretion and professionalism when handling sensitive information.
- Strong attention to detail and commitment to high standards.
- A full UK driving licence and access to your own vehicle.
