About the RoleWe are looking for a highly organised and dependable Office Administrator / Personal Assistant to join our team on a full-time, on-site basis in Birmingham.
This is a varied role combining office administration, diary management, communication and personal assistant responsibilities. You will work closely with management and colleagues to ensure the office operates efficiently and administrative tasks are completed accurately and on time.
The successful candidate will be organised, professional, confident communicating with people at all levels and comfortable managing multiple priorities in a busy office environment.
Key Responsibilities- Provide day-to-day administrative support to management and the wider team
- Manage calendars, appointments and meeting schedules
- Organise meetings and prepare meeting materials
- Handle emails, telephone calls and correspondence
- Prepare documents, reports, presentations and spreadsheets
- Maintain accurate electronic and paper records
- Coordinate office supplies and general office requirements
- Arrange travel, appointments and business activities when required
- Assist with invoices, expenses and basic administrative records
- Liaise with clients, suppliers and internal departments
- Maintain confidentiality when handling sensitive information
- Support general office operations and other administrative tasks as required
The ideal candidate will have:
- Previous experience in office administration, personal assistance, executive assistance or a similar role
- Excellent organisational and time-management skills
- Strong written and verbal communication skills
- Good working knowledge of Microsoft Office, including Word, Excel and Outlook
- Excellent attention to detail
- The ability to prioritise tasks and meet deadlines
- A professional and approachable manner
- The ability to work independently and as part of a team
- Good judgement when handling confidential information
Previous experience supporting senior management or executives would be advantageous but is not essential.
