IFA Administrator

Salary: £28,000-£32,000 per annum

Location: Birmingham - Hybrid (Primarily Home-Based)

Hours: Monday to Friday, 9:00am – 5:00pm (35 hours per week)

Contract: Permanent, Full-Time

NJR Recruitment is delighted to be recruiting on behalf of a growing and forward-thinking Independent Financial Adviser firm who have an excellent opportunity as a result of organic growth for an experienced IFA Administrator to join their team.

This is an excellent opportunity for an experienced Financial Services Administrator looking to develop their career within a professional and supportive environment. Working closely with Advisers, clients and colleagues, you will play a key role in delivering efficient administration, exceptional client service and positive client outcomes.

The role is primarily home-based, with occasional attendance required for meetings, training and team collaboration.

The Role

As an IFA Administrator, you will provide high-quality administrative support across a range of pensions, investments and protection cases, ensuring all client work is handled accurately, efficiently and in line with regulatory requirements.

Key responsibilities include:

Client Administration

  • Obtaining policy information, valuations, illustrations and provider documentation.
  • Processing Letters of Authority and client documentation.
  • Preparing and submitting new business applications.
  • Liaising with providers, platforms and third parties to progress client cases.
  • Monitoring outstanding business and proactively following up with providers.
  • Maintaining accurate client records and ensuring documentation is complete.
  • Managing cases through to completion within agreed timescales.

Adviser Support

  • Providing ongoing administrative support to Financial Advisers.
  • Assisting with client servicing and case management.
  • Supporting advisers in delivering excellent client outcomes.
  • Handling client queries professionally and efficiently.
  • Contributing to improvements in service standards and processes.

Compliance & Quality

  • Completing Anti-Money Laundering and client verification checks.
  • Ensuring all records and documentation meet regulatory standards.
  • Maintaining excellent attention to detail across all administration tasks.
  • Supporting internal quality checks and compliance processes.
  • Working in line with FCA regulations and Consumer Duty principles.

Team Contribution

  • Working collaboratively with colleagues across the business.
  • Sharing knowledge and supporting best practice.
  • Contributing ideas to improve efficiency and client experience.
  • Supporting wider projects and business initiatives when required.

About You

The successful candidate will have:

  • Minimum 2 years’ experience within a Financial Services administration role.
  • Experience working within a regulated environment.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • The ability to work independently while remaining a collaborative team member.
  • Strong IT skills and confidence using business systems.

Ideally, you will also have:

  • Experience within an IFA practice, wealth management firm, platform or provider environment.
  • Knowledge of pensions, investments and protection products.
  • Experience using Intelligent Office (iO) or similar back-office systems.
  • Progress towards, or completion of, relevant financial services qualifications.
  • A genuine interest in developing a long-term career within Financial Services.
