We are looking for an Operations Assistant to join our Debt and Asset Recovery team here at Shakespeare Martineau / Corclaim!


What you will be doing:

Working as part of a central operations team providing assistance on the co-ordination of system/data issues and the creation of client reports / KPIs / Operational trackers, whilst also supporting with other central/operational work required as and when required. You will be an integral part of the team supporting the Operations Manager who will be monitoring team work flow processes, helping to ensure that the day to day functions are efficient and working correctly.


As a key interpreter between the external client and the Debt and Asset Recovery team it is essential you have full understanding of client’s requirements to ensure the internal processes meet the KPI and reporting demands of each client’s specific criteria.


Key responsibilities:

  • IT liaison to ensure backlog items are worked and prioritised – ensuring the robot register and work request schedule are kept up to date with activity references and progress
  • Team liaison to ensure workflows and client reporting is working as it should be – ensuring any change requests required to resolve data/reporting issues are included within the IT work request schedule
  • Assist the operations manager in supporting the department with workloads and priorities to include distribution of instructions (where requested) and undertaking bulk centralised tasks such as bulk emails (as an example)
  • Assist the operations manager in supporting the sub team supervisors in maintaining SLAs – ensuring the operational trackers are updated weekly/monthly and that monthly KPIs are captured
  • Supporting the Operations Manager in managing and overseeing system and process changes – via the co-ordination of work requests with IT and ensuring the work request schedule is kept up to date to reflect progress.
  • Supporting the Operations manager in data analysis to improve strategy and processes – via the production of KPI’s and client reports, including assisting with resolving data issues arising in the reports via co-ordination with IT
  • Assisting the operations manager in supporting legal projects throughout the business (where requested)
  • Ensure processes relating to the creation of client reports and KPIs are effective and well documented
  • Provide support and assistance to the central DAR team, undertaking tasks (when required) to support with fluctuating workload demands or service issues


What you will need:

  • Experience working with case management systems and workflows
  • Ideally previous operations background with experience interpreting clients requirements
  • Strong Excel skills
  • Organisational skills
  • The ability to manage conflicting priorities and effectively manage the re-prioritisation of workloads/tasks accordingly to ensure key dates/service requirements/SLAs are not compromised
  • Excellent communication skills, clear and concise in both written and verbal
  • To be a team player
  • Solution focused mindset
