Job Description

To provide an efficient and effective clerical and administrative support service whilst working on the Business Support Team to the various teams within the Public Protection Department.

  • Candidates will require exceptional data quality and accuracy in order to support data performance and workforce staff managers.
  • You will show previous experience and knowledge of police workforce and Qlik data systems, ensuring PPU have staff resourced to the right places at the right time support force operations and internal rotas and additional duties.
  • Tasks and work priorities will need to be managed once being allocated by a supervisor manager or senior colleagues.
  • You will use your knowledge to help develop new staff coming into prepare to improve their confidence on police systems and data accuracy.
  • You will be actively participating in workforce business planning and presentation of agenda and data tables.
  • Offer resilience to assist in the preparation of data for morning meetings.

Key Responsibilities

  • Respond to email enquiries from other departments and agencies, including the WMP senior leaders, National Crime Agency and third party agents.
  • Maintain Public Protection Sharepoint updates
  • Provide general clerical assistance to the Department, e.g. photocopying, scanning documents, postal despatch, maintenance of records, management information, and, where appropriate, diary management.
  • Plan and prioritise own workload on a daily basis, responding to department requirements with the support of tasks and work priorities being allocated by a supervisor manager or senior colleagues.
  • Provide guidance and support to colleagues where/when required. Share data knowledge and advice to colleagues and new staff recruited into prepare
  • Ensure the health and safety of both the post holder and also colleagues and visitors to the department.
  • Check and collate training records on the system with exceptional data quality and accuracy, enabling balanced, cost effective training course direction across the workforce.
  • To actively participate in workforce business planning and presentation of agenda and data tables.
  • Offer resilience to assist in the preparation of data for morning meetings.
  • Any other duties commensurate with the role and band/grade

Essential

Skills and Competencies

  • Knowledge of relevant legislation or guidelines including those surrounding Data Protection, Government
  • Protective Marking, Disclosure, Freedom of Information legislation and guidance
  • Proven ability to handle confidential and sensitive information, demonstrating the utmost integrity and professionalism.
  • Proven and demonstrable commitment to fairness, diversity and inclusion, the successful candidate must complete unconscious bias training.
  • Excellent Interpersonal skills.
  • Demonstrate an ability to prioritise tasks.
  • Ability to work to deadlines with high demand and to demonstrate flexibility.
  • Experience of using computers, Microsoft Teams, Excel and Word
  • Good keyboard skills with the ability to transcribe information accurately technical skills around the presentation of complex data, especially using MS Excel and force intelligence systems.
  • Experience of working on own initiative and within a team environment.
  • Able to demonstrate effective partnership working with other departments and agencies.

Vetting: Successful applicants will be required to pass Recruitment Vetting and Counter Terrorism Clearance scrutiny prior to commencing their role, this will include a full background & financial disclosure as part of the vetting process

Hours: The post holders will be required work Monday to Friday business hours from West Bromwich with some agile support. Posts are full time.
